How to advance a show: a promoter's checklist
Everything to confirm with every artist before doors, and when.
Advancing a show means confirming everything with every artist before the night, so nothing is a surprise at the door. Most bad nights trace back to something nobody confirmed.
Two to four weeks out
- Confirm the date, the venue address and set times, in the venue's time zone
- Get a press photo, a short bio and a logo from each artist for the event page
- Ask for the rider and send it to the venue
One week out
- Send each artist a run sheet: load-in, set times, the contact on the night
- Confirm travel and hotel for anyone coming in from out of town
- Book a photographer or media team and share the lineup with them
Day of
- Check the booth against each rider before doors
- Make sure the guest list matches what you promised
- Have someone on the door who knows the artists by face
After
Get photos out to the artists within a day or two, credited. Artists who get good photos from your nights come back and post about them.
On presskit
Your party's lineup shows a checklist for each artist: press photo, 9:16 for stories, logo, bio, rider and set time. Missing items are one click to ask for, and photos from your media team land with the artists automatically.
